A Client Wants 1,000 Candles but Also Wants a New Fragrance — How Much Development Time Should I Allow Before Production Begins?
Share
Why so long when pouring a test takes an afternoon? Two things cannot be bought back. Cure is calendar time: both candidate pages state 48–72 hours minimum, and we judge at day 7. A full-life burn takes your candle's burn life in attended hours (40 hours in the worked example, 5 burning days).
What does development cost? ₹4,060.20 in CSI lines on the standard route: two 100 g candidate oils, a second 100 g of the winner, 4 kg of Luxury Soy Wax CSI 464 and a few wicks, for 19 test candles. That is 4.4% of the bulk oil bill, or ₹4.06 per saleable candle.
How do I quote it? Never quote a fixed delivery date from the enquiry. Quote "20 days from written sample approval and materials in hand", give the development window (about 24–32 days), and quote both oils' prices. Briefed on Monday 12 October 2026, a new fragrance cannot be a Diwali gift.

Your order, and the clock a new oil adds
Here is the order as numbers. Reader's figures (title): 1,000 candles, and a fragrance you have never produced. Labelled assumptions: a 200 g candle at 8% fragrance on total weight (16 g oil + 184 g wax), in the jar, wax and wick you already sell. In the worked example that is your own 200 g jar, Luxury Soy Wax CSI 464 and an Eco C2 wick. Only the oil is new. If the jar, wick or colour are new too, that is a different post: the new jar, fragrance and colour post.
The production half is already solved in this cluster. The 1,000 × 200 g in 21 days hub shows that, with a proven formula, a 10 kg melter-class unit and two people, 1,000 candles take 20 calendar days from materials-in to hand-over. That figure is the end of this post's calendar. Everything here happens before it.
| Item | Figure | Basis |
|---|---|---|
| Candles ordered | 1,000 | Reader's figure (title) |
| Fragrance | new to you | Reader's figure (title) |
| Fill and load | 200 g at 8% = 16 g oil + 184 g wax | Series default, labelled |
| Jar, wax, wick | your proven set (CSI 464 + Eco C2 in your jar) | Worked example: only the oil changes |
| Oil for production | 16.968 kg after the 6301 buffers | 1,050 poured + 1% heel, labelled |
| Candidate oils | Bergamot Amber and Palo Santo | Worked example for a "warm, bright, not floral" brief |
| Production phase | 20 calendar days | From the 6301 plan |
| Development before production | 24–32 days (+12 if the wick changes) | This post |
Why test two oils when the client asked for one fragrance? Because "new fragrance" usually arrives as a description ("warm, premium, not too sweet"), and one candidate gives the client nothing to compare against. Two candidates cost one more 100 g bottle (₹601.80) and no extra days, since both ladders pour on the same afternoon and cure side by side. Pour a reference candle of your current proven oil the same day, so every candle in the comparison is the same cure age (why comparisons need the same cure age).
The development calendar, step by step
Each step below has a labelled range and the figure the worked example uses, with day 1 on a Monday and Sundays off for work (cure carries on). The ranges are judgement, not CSI data. The only page figures are the two candidates' "48–72 hours" cure, and that is a minimum before burn testing, not the point at which throw is fully developed. Fragrances do not all reach good hot throw at the same age (cure time differs by fragrance), which is why the worked example judges at day 4 and confirms at day 7.
| Step | Typical range | Worked example | Who sets the pace |
|---|---|---|---|
| 1. Brief agreed in writing, two oils shortlisted, samples ordered | 1–2 days | day 1 | You and the client |
| 2. Samples in transit | your experience; CSI publishes no transit times | days 1–4 | Confirm dispatch on WhatsApp |
| 3. Cold sniff, then pour the screening ladder | same day | day 4: 13 candles | Your bench time |
| 4. Cure before the first hot-throw session | 48–72 h minimum (both pages); many makers judge at day 3, 7 and 14 | sessions on days 8 and 11 (cure day 4 and 7) | Calendar time |
| 5. Client picks the oil from coded candles | 2–5 days | courier day 12, answer day 15 | The client |
| 6. Second bottle of the winner in, confirmation candles poured | transit again | day 18: 6 candles | Transit, then bench |
| 7. Confirmation cure | 7 days (judgement) | days 18–25 | Calendar time |
| 8. Full-life burn on the final jar, wick and load | burn life ÷ attended hours a day | days 25–30 (40 h ÷ 8 h = 5 burning days) | Calendar time |
| 9. Written approval of the confirmation sample | 2–5 days | courier day 25, signed day 29 | The client |
| 10. Bulk oil ordered and received | confirm on WhatsApp | ordered day 30, in day 33 | Supplier |
| 11. Production to hand-over | 20 days on the 6301 plan | days 33–52 | Your workshop |
Three timelines: compressed, standard, wick re-loop
The standard route is the cheapest: one oil at a time, and nothing bulk until the full-life burn passes. The compressed route spends ₹1,203.60 more on day 1 (a second 100 g of both oils, a 5 kg wax bag instead of four 1 kg bags, and ten more wicks) so the confirmation candles of both candidates go in on day 11 while the client is still choosing. That saves 8 days, about ₹150.45 a day. It also orders the bulk oil on written approval (day 22) while the full-life burn finishes on day 23, which is a calculated risk. If the final third fails, the fix is usually a wick change; the oil the client approved is still the oil you use.
| Route | Days before production | Hand-over | Date if day 1 is 12 October 2026 | Development kit |
|---|---|---|---|---|
| Compressed: second 100 g of both oils bought on day 1, confirmation of both poured day 11, bulk ordered on written approval (day 22) while the full-life burn finishes | 24 | day 44 | Tuesday 24 November 2026 | ₹5,263.80 |
| Standard: one oil at a time, bulk ordered after the full-life burn passes (day 30) | 32 | day 52 | Wednesday 2 December 2026 | ₹4,060.20 |
| Wick re-loop: the final third fails on day 30, a new wick bracket is cured and burned (days 31–43) | 43 | day 64 | Monday 14 December 2026 | standard kit + about 3 more candles of oil, wax and wicks |
Read the dates against the calendar. Diwali is Sunday 8 November 2026, day 28 on this count, before any route reaches production. If the client's real deadline is Diwali gifting, the honest answer on 7 October is: a new fragrance is not possible; one of your proven fragrances is (that is the 21-day plan in the hub). Christmas, 25 December 2026, is day 75: comfortable on the standard route, with a wick re-loop to spare.
What the wick re-loop really costs
If one or both full-life candles drown, tunnel badly or run the glass hot in the final third, you need a new wick rung: pour day 31, cure to day 38, burn to day 43, start production on day 44, hand over on day 64. The two neighbour-rung candles in the confirmation set exist to shorten this: if the neighbour rung passed while the main wick failed, you have your answer on day 30 and lose nothing. Without them, a failure costs the full 12 days. That is the best ₹ in the kit.
The development kit and the bulk oil, priced
The sheet below follows the series format: required, plus planned extras, plus losses, rounded up to in-stock CSI packs, with leftovers. The development lines are tiny because 100 g is the right size for a candidate oil. The last line is the bulk oil you buy only after the client signs, using the buffers from the 6301 purchase sheet (10 extras, 4% loss, 1% heel). Wax, wicks and jars for production are on that sheet and do not change because the oil is new.
| Line | Required | + Planned extras | + Loss / notes | To buy | CSI packs | ₹ | Left over |
|---|---|---|---|---|---|---|---|
| Bergamot Amber (screening) | 96 g (6/8/10% × 2 candles) | — | pour each rung as its own 2-candle batch | 96 g | 1 × 100 g | ₹560.00 | 4 g |
| Palo Santo (screening) | 96 g | — | same | 96 g | 1 × 100 g | ₹601.80 | 4 g |
| Winner, confirmation (Bergamot Amber, worked example) | 96 g at 8% (6 candles) | retain + client sample included | at 10% it is 120 g | 96 g | 1 × 100 g (add 50 g at 10%) | ₹560.00 | 4 g |
| Luxury Soy Wax CSI 464 | 3,496 g (19 candles) | reference candle included | — | 3,496 g | 4 × 1 kg (flat per kg) | ₹2,029.60 | 504 g, reusable |
| Eco Candle Wicks C2 | 17 | — | 3 spare in the pack | 17 | 1 × 20 | ₹188.80 | 3 wicks |
| Neighbour rung (Cotton Braided or C1) | 2 | — | — | 2 | 1 × 10 (or C1 × 20) | ₹120.00 | 8 wicks |
| Your production jar | 19 | — | — | 19 | your supplier (or 4 × 5 clear Salsa) | your price | — |
| Development kit, CSI lines | ₹4,060.20 | ₹4.06 per saleable candle | |||||
| After written approval: Bergamot Amber for 1,000 × 200 g at 8% | 16.968 kg | 10 extras | 4% loss + 1% heel (6301 sheet) | 16.968 kg | 34 × 500 g | ₹92,412.00 | 32 g |
Development is ₹4,060.20, which is 4.4% of the ₹92,412.00 bulk oil bill, or ₹4.06 per saleable candle. It excludes your jars, labour, courier to the client, freight and GST. The labour is the larger cost: two pour sessions, two hot-throw sessions and about 5 attended burning days. Whether to charge the client a separate development fee is the development-fee post; how development belongs in your true cost is the true manufacturing cost post.
Three pack facts that change the bulk bill
Bergamot Amber: buy 500 g bottles, not 1 kg. The 1 kg is ₹5,437.00 and two 500 g bottles are ₹5,436.00, so 34 × 500 g (₹92,412.00) beats 17 × 1 kg (₹92,429.00) by ₹17.00, and 16 × 1 kg + 2 × 500 g (₹92,428.00) sits between. It is small, but it is the honest way round. Palo Santo: no saving at any size. It is ₹6.02 a gram from 50 g to 1 kg, so 17 kg is ₹1,02,306.00 whichever packs you choose, ₹9,894.00 more than Bergamot Amber (₹9.31 a candle). Wax and wicks are flat too. CSI 464 is ₹507.40 a kilo from 1 kg to 10 kg, and C2 is ₹9.44 a wick at every pack, so the development kit buys exact quantities without paying more per unit.
How to quote the timeline to the client
The decision rule is a comparison of two dates. Take the client's delivery date and count calendar days from the day the brief can be agreed. Day 52 or later: accept on the standard route. Day 44 to day 51: accept with conditions: the compressed route, the client answers within one working day of receiving samples, and the bulk oil is confirmed on WhatsApp before you commit. Before day 44: do not accept a new fragrance. Offer a proven one, or split the order.
| Client date (days from brief) | Answer | Conditions |
|---|---|---|
| 52 or more | Yes | Standard route; development fee or sample charge agreed; bulk oil after written approval |
| 44–51 | Yes, with conditions | Compressed route; one-working-day client replies; bulk oil confirmed on WhatsApp; no scope changes after day 15 |
| under 44 | Not with a new fragrance | Offer a proven fragrance (20 days from materials) or split: proven scent now, new scent on day 52 |
Then put four things in the written order. Practical judgement, not legal advice.
| Clause | Why |
|---|---|
| "Delivery 20 days after written approval of the final sample and receipt of materials." | The client's reply time and the supplier's stock sit on the critical path; this puts them where they belong. |
| "Development window about 24–32 days; samples on about day 12 and day 25." | Gives the client two dates they must be ready to answer on. |
| "Price per candle: Option A (Bergamot Amber) ₹___; Option B (Palo Santo) ₹___." | The oils differ by ₹9.31 a candle in raw cost; one blended price hides a ₹9,894.00 swing. |
| "A change of fragrance after approval restarts development and moves the date." | Late changes are the commonest way a new-scent order fails; see the finalise-before-buying post. |
An advance should at least cover what becomes client-specific when you buy it: here, about 17 kg of an oil you may not otherwise sell. How big that advance should be is the advance post. The full list of intake questions that change these numbers is the client-questions post.
What to buy for development, and what to wait for
Five items, chosen on page statements, price and stock on 7 October 2026. CSI publishes no burn or throw data, so nothing is ranked on performance, and the oils were chosen to fit a worked-example brief, not because they suit every client. Each card says when not to buy.

Wait for the signature: the 17 kg of oil, the 1,000 wicks and anything printed with the scent's name. Argued against our own interest: the most expensive mistake in a new-fragrance order is a kilogram of the oil the client did not choose, and the second most expensive is 17 kg of the one they chose before they signed.
CandleMakingSuppliesIndia sells the oils, wax, wicks and jars named here, and does not sell finished candles. This page still tells you to buy 100 g instead of 1 kg, that our 1 kg of Bergamot Amber costs more than two 500 g bottles, that Palo Santo gets no cheaper in bulk, and not to place the bulk order until the client signs.
Every CSI price was checked on the live store on 7 October 2026. Stock was checked per size: every item priced here is in stock on that date, the Eco C1 10-pack is out of stock and is not used, and stock depth for 17 kg of one oil is not something a product page shows. Oil-page wording (loads, cure, vanillin) is quoted as written.
The step ranges, transit days, client reply times, burn life, burning hours, candle counts and the 12 October start are labelled worked examples; the 7-day judgement is a planning choice, and the decision rule is practical business judgement, not legal or financial advice. Non-price figures: 1,000 candles and "a new fragrance" are the reader's figures (title). The 200 g fill and 8% load are the series defaults; load is a percentage of total candle weight (200 g at 8% = 16 g oil + 184 g wax). Day 1 as Monday 12 October 2026, 3-day transit, client reply times, 2 candles a rung, the 6-candle confirmation set, the 40-hour burn life and 8 attended hours a day, the 7-day cure judgement and the 6301 production phase of 20 days and buffers are labelled worked examples. Cure wording ("48-72 hours", "48–72 hours for soy wax") and loads are the oil pages'; CSI 464's "up to 10%" is a formulation limit, not a regulatory one. Costs are materials only and exclude your jars, labour, courier, freight and GST. Diwali 8 November 2026 and Christmas 25 December 2026 are calendar facts.
