Bulk Fragrance Oils for Private-Label Gifting Companies

A spec sheet for every SKU

A private-label gifting company makes candles that carry a client's brand: a hotel's room gift, a bank's client hamper, a boutique's own line. The client approves a sample once and expects every later candle to match it. The spec sheet is how you keep that promise, and it is the document the client's team will ask for when something needs checking. One page per SKU is enough. Here is one filled in for a 200 g Palo Santo gift jar.

Two fields do most of the work. The exact store name matters because catalogues have near-duplicates. CSI lists two Spicy Raspberry entries and two Pomegranate Splash entries at different prices, and a buyer who orders "spicy raspberry" may get either. The version and date matter because specs change. When you change a wick or a wax, the client needs to know, and your records need to show which candles were made under which version.

Batch records

The spec sheet says what the candle should be. The batch record shows what each batch actually was. Keep one entry per production day or per pour, and file it with the order. If a client's customer ever reports a problem, the record lets you answer in minutes: which oil pack, which wax delivery, which load, which day.

Continuity of supply

The worst private-label problem is not a price rise. It is an oil you cannot reorder when the client's next order arrives. The first screen is simple: build SKUs on oils that are in stock at every listed size. On 24 September 2026, 47 of the 93 oils in CSI's Fragrance Oils collection were in stock at all five sizes, from 15 g to 1 kg. Another 14 had at least one listed size out of stock, 7 had none in stock at all, and the remaining 25 are in stock but not listed in every size, for example starting at 50 g or 100 g. Here are some of the gaps, to show what the screen catches:

A gap is not a verdict on the oil. Vetiver and Chocolate Fudge are good oils with one missing size. It is a signal about risk. An SKU that needs a kilo every month should not rest on an oil whose kilo is out of stock today. If a client insists on one of these, hold more safety stock and agree the alternate before launch.

The second protection is an approved alternate: a second oil, tested in the same spec and approved by the client in writing, that you can switch to if the main oil is unavailable. It will not smell identical. It is a planned, approved substitute rather than a panic swap. Choose it from the same scent family and test it in the same wax, wick and jar. A four-SKU range, costed for a year

Here is a worked example: a gifting company with four private-label SKUs, all 200 g gift jars at 8%, with a 5% allowance on oil. Each SKU holds safety stock of one month's use, rounded up to whole kilos. That is a working assumption that suits a reorder cycle comfortably shorter than a month, so adjust it to your own experience. Each SKU has a named alternate from the same family, all in stock at every size.

The opening order is the first month plus the safety stock, in whole kilos: Honeydew Melon 6 × 1 kg (₹20,390.40); Palo Santo 4 × 1 kg (₹24,072.00); Fallen Leaves 4 × 1 kg (₹16,992.00); Peach Melon Berry 6 × 1 kg (₹25,063.20). That comes to ₹86,517.60. After that, each month's order replaces what was used. Honeydew Melon and Fallen Leaves are among the 24 oils with a real kilo break, 22.0% and 10.0%. Palo Santo and Peach Melon Berry are priced flat, so their kilos buy stock security, not a lower rate. To test the four oils and their four alternates in 15 g costs ₹781.16.

Documents and what they cover

Private-label clients often have their own compliance or procurement teams, and they ask for paperwork a retail customer never would. CSI provides three documents. The table sets out what to ask for and how to use each without overstating it.

The discipline is simple: forward documents, do not paraphrase them into claims. If a client asks whether a candle is "IFRA certified", send the IFRA documentation for the oil and let it speak.
