How to Qualify a New Fragrance Oil Before Adding It to Your Candle Business

What does qualification need? 100 g of the oil, seven candles (a 6/8/10% ladder, one approved reference, a wick pair and a never-lit shelf candle) and about 28 days. It uses 72 to 81 g of oil and leaves the rest as your retained sample.
What should I ask the supplier for? MSDS and IFRA documentation (CSI provides them on request on WhatsApp), stock at the size you will reorder, and a dispatch time. Documents are paperwork, not performance: they go through gate 1, not instead of the candles.
What does it cost? The 100 g plus ₹1,195.79 of wax, jars and wicks: ₹1,628.79 for Gardenia, ₹1,785.79 for Verbena, ₹1,797.59 for Palo Santo.

The qualification checklist, gate by gate
This is the checklist we would use for an oil a business intends to stock and reorder. It is deliberately heavier than the three-candle go/no-go in Should I Approve Every New Fragrance Oil Through a Separate Burn Test?, which asks only whether an oil works at your existing settings. Qualification asks the business questions too: can we get the documents, can we reorder it, what does a candle cost, and at which load and wick does it belong. Gate 1: paper before product
Gate 1 costs nothing and rejects oils for reasons no candle can fix. Read the product page and write down, for the date you read it, what it states and what it does not.
What the page states
Candle load. Of CSI's 102 fragrance oils, 50 pages state a candle load or range (two of them, Lavender Oud and Amber Oud Royal, only as "Candles (Soy/Paraffin/Blends) 10%" in a perfume usage table); 52 do not. A stated window sets the top of your gate 3 ladder alongside the wax: Luxury Soy Wax CSI 464 states up to 10%, Luxury Soy Wax Chunks and Premium Coconut Soy Wax CSI 468 up to 13%, and the lower of the two governs. With no oil-side figure, the wax page's maximum is your only ceiling; note it as a gap. Vanillin. Sixteen CSI pages mention vanillin, from Palo Santo's "0% (No risk of discoloration)" to Vanilla Bean's 2.5%. A 0% statement is the page's claim; gate 5 runs anyway. Cure and wick. At least 21 pages state a soy cure (48–72 hours); seven give a wick recommendation, and all seven name wooden wicks among the options. Perfume-grade listings quoting 15% to 25% are giving perfume rates, not candle loads; for a candle they count as "no candle load stated".
What to ask for
Request the MSDS and IFRA documentation for the specific oil; CSI provides both on request on WhatsApp. File them with the date. Where a page says "IFRA-certified" or "IFRA Certified", that is the page's wording; the documents are what you file. Ask too whether the size you would reorder is in stock and what dispatch time to expect at your location. Stock depth, with two real examples
An oil you cannot reorder at production size is a problem you find at gate 1 or at your first reorder. On 25 September 2026, Vetiver is in stock from 15 g to 500 g but its 1 kg is out of stock; its 100 g costs 5.9% more per gram than the 1 kg's listed price, so a Vetiver SKU costed on the 1 kg would be costed on a size you cannot buy that day. Chocolate Fudge has its 100 g out of stock while 15 g, 50 g, 500 g and 1 kg are available. Neither is a reason to reject the oil outright; both are reasons to write the stock position and a date on the qualification sheet and confirm on WhatsApp before costing.
Gates 2 to 5: seven candles, 28 days
Gates 2 to 5 share one bottle and one schedule. The load ladder answers gate 3; the wick pair, poured once the ladder has a leader, answers gate 4; the shelf candle and a surface check on every candle answer gate 5. All candles are 150 g in your house wax and production jar. If the lower ceiling is below 10% (Coffee Vanilla Tobacco and Fresh Strawberries state 9%, for example), the top rung is that ceiling, not 10%.

Oil budget: 36 g for the ladder, then 36 g more if 8% leads (72 g in all) or 45 g if 10% leads (81 g). A 100 g bottle leaves 19 to 28 g, which becomes the retained sample: seal it, label it with the date, and keep it away from light and heat for the confirmation candle at your first reorder. Wax: 966 g at 8% (slightly less if 10% leads). Jars: 7. Wicks: six house wicks and one alternative.

Add the 100 g bottle for the total: ₹1,628.79 with Gardenia, ₹1,785.79 with Verbena, ₹1,797.59 with Palo Santo. If gate 4 uses wooden wicks instead of C2, the pack of 10 is ₹590.00. Figures exclude labour, freight, packaging and GST; jars can be cleaned and reused.
Is it actually the fragrance oil? Why the reference rides along
A ladder that scores badly across the board could mean a weak oil, or a young set of candles, a draughty room, a tired nose, or a wick that suits nothing. The reference candle R, an oil you already sell at its approved settings, poured in the same melt, separates those. If R scores as it always does and the new oil does not, the result belongs to the oil at these settings. If R is also down, the round tells you about your system, and the right move is to repeat it, not to reject the oil and not to buy a different one.
Two further checks keep the verdict honest. Judge at the same ages you use for approved oils; a day-3 result is a wick reading, not a throw verdict. Gate 6: cost and supply
Gate 6 turns the approved load into money. Work it out at the size you will actually buy, with your own wax, jar and wick, and put it next to the price the SKU will sell at. In the worked example below, wax, jar and C1 wick add ₹170.32 to every candle whatever the oil.

Two things stand out. First, in a 150 g clear-jar candle the jar, not the oil, is the largest single line for all three oils; Palo Santo's oil is 30% of the material cost and Gardenia's 23%. Second, oil price differences still add up: Palo Santo costs ₹20.23 more per candle than Gardenia at 1 kg, ₹10,116.00 across 500 candles. Whether that is acceptable depends on the SKU's price, not on the oil. If gate 3 chose 6% instead of 8%, the oil line drops by a quarter; if 10%, it rises by a quarter.
Supply. A rejection note saves money twice: it stops the oil entering stock, and it stops someone re-testing the same oil next year without knowing it failed. What to buy: 100 g of the candidate and the wick you will sell
Three oils whose pages give unusually complete gate 1 information (stated load, vanillin, cure and, for two of them, wick wording), each teaching a different point at gate 6, and the wick for makers who sell in wood. Chosen on stated page data, per-gram pricing and stock at every size on 25 September 2026, not on throw, which CSI has not measured. Candle counts assume 150 g at 8%.

Qualifying fresh oils for summer 2027
Indian summer runs roughly April to June, and fresh, citrus and herbal scents such as Verbena are a natural fit for it. Qualification takes about 28 days, and a production run then needs its own cure before dispatch, so a summer launch planned for early April is best qualified in January and February 2027, after the Diwali (8 November 2026), Christmas (25 December 2026) and Valentine's Day (14 February 2027) work has been poured. That leaves time for a second candidate if the first is rejected. Order 100 g samples in early January; decide by late February; buy production stock in March at the size gate 6 chose. Dispatch times depend on your location; confirm on WhatsApp before you promise a date.
