What should I check before switching fragrance suppliers? Six things, in order: coverage of your scents, stock depth, the size ladder, price per gram at the size you buy, paperwork (GST, MSDS, IFRA), and the cost of re-testing every scent. See the six checks.

Are fragrance oils with the same name the same across suppliers? No. Two "Sandalwood" oils from different suppliers are different formulas. Every scent you move needs a re-test in your wax before it goes into production.

How much does it cost to re-test my range? For the 11 in-stock scents in the example range, 15 g of each plus test wax and wicks costs ₹2,634.30. See the re-test plan.

Is one supplier cheaper? Not automatically per gram. The gain is in fewer orders, fewer deliveries and one invoice. A consolidated monthly order of 6 kg of oil with wax, wicks and jars comes to ₹1,02,185.80 in one go.

Check six things, in this order. Coverage: does the supplier list a fragrance for every scent in your range? Stock depth: are the sizes you buy actually in stock? On 24 September 2026, 72 of CSI's 93 listed oils had every size in stock, 14 had some and 7 had none. Ladder: can you test small and reorder big in the same oil? 72 CSI oils are in stock at both 100 g and 1 kg, and the listed maximum is 1 kg per oil, with larger quantities quoted on WhatsApp. Price per gram at the size you actually buy, scent by scent, against your current suppliers. Paperwork: GST invoices, MSDS and IFRA documentation. And the one most people skip, re-testing: an oil with the same name from a new supplier is a different formula, so every scent needs a test burn in your wax before production. For a 12-scent range that costs about ₹2,634.30 in samples and test materials. Then switch scent by scent, not all at once: move your slow scents first, run one reorder cycle in parallel, and move your lead scent last. Consolidating suppliers is an operations decision dressed up as a purchasing one. Get the operations right and the purchasing follows.

Every multi-supplier candle business got that way for a reason: one supplier had the best vanilla, another the right rose, a third was nearby. Before you replace them all with one, check that the new supplier can do each of those jobs. The table below lists the checks, how to verify each one, and what CSI's catalogue shows on the pull date. The first three checks are about the catalogue, and you can do them from product pages. Stock depth matters more than coverage: a supplier who lists your scent but is out of it in the size you use has not really covered it. The ladder matters because a consolidated supplier needs to serve both your test orders and your production orders in the same oil. Testing at 100 g and reordering at 1 kg and above covers ladder continuity in depth, and a supplier for regular commercial orders and sourcing for monthly production cover the repeat-order side.

Check stock twice, a week apart
A single check shows today's stock. Two checks a week apart show whether sizes come back. For your lead scents, ask on WhatsApp how stock is managed for that oil and whether a quantity can be reserved ahead of a season such as Diwali (8 November 2026).
Argued against our own interest, plainly. We would like all of your fragrance business. But if another supplier makes the vanilla your customers reorder for, and our vanilla tests differently in your wax, keep buying that vanilla where you buy it. Consolidate the scents that pass the re-test, not the ones that do not. Most of your volume on one invoice is still most of the benefit.

Compare per candle, not per bottle. A difference of ₹0.50 a gram is ₹8.00 a candle at 16 g, which on 400 candles a month is ₹3,200.00. That is the scale at which a switch pays for its re-test in the first month, or does not.

The re-test is the real switching cost

Two oils called Sandalwood are two different formulas. Your customers will notice before you do.

Fragrance oils are proprietary blends. The name describes the intent, not the recipe, so an oil from a new supplier can throw differently, smell different in the jar and behave differently with your wick. Every scent you move needs the same test you gave it the first time: three small test pots at your working load, cured and burned side by side with the candle you sell now. For the eleven in-stock scents in the example range, that costs:

That is ₹239.48 a scent. Test in the wax you actually produce with; if it is not Luxury Soy Wax Chunks, substitute your own. Score each new oil against your current candle blind, on cold throw, hot throw at one and two hours, and burn quality. Testing 20 fragrances before launch has a full scoring sheet. A new oil that is equal or better moves; one that is noticeably different stays with its current supplier, or moves only after you have told your customers.

The mistake that costs repeat customers. Switching every scent in one order because the new supplier's names match the old ones. The lead scent changes subtly, regular buyers notice, and the reorders slow before you know why. Re-test first. Move the lead scent last, after one full cycle with the others.

One supplier should simplify buying without changing what your customers smell. If a scent changes, it should be because you chose to change it, after a test, not because an invoice moved.

What consolidation actually buys

The benefits of one supplier are mostly operational: one order to place, one delivery to receive, one invoice for your accountant, one WhatsApp thread for questions, one set of documentation. That is ₹272.50 of materials per candle, before labour, packaging, freight and GST, on one invoice. Consolidation does not by itself lower the listed price per gram; for most oils, a 1 kg costs about the same per gram as the 100 g. What it does is give you a single, larger order to bring to a quote. Negotiating at 5–10 kg a month covers that conversation, and consolidating purchasing with one supplier covers the mechanics.

The non-oil lines are simpler to switch. Wax, wicks and jars do not carry a scent, so the re-test is a burn test, not a smell test. Luxury Soy Wax Chunks (₹599.00 a kilo), CSI 464 (₹507.40 a kilo), Eco Candle Wicks and White Matte Glass Jars can join the first consolidated order. Change one of them at a time, never wax and oil in the same month, or you will not know which change moved the result.

It simplifies ordering, delivery and invoicing, and gives you one larger order to bring to a quote. It concentrates risk, so switch scent by scent after re-testing, and keep a fallback for your top two sellers.
How do I compare fragrance oil suppliers?
Price per gram at the size you buy, stock depth in that size, the size ladder, documentation, and above all a blind burn test in your own wax. Bottle prices alone mislead.
Will the same fragrance from a different supplier smell the same?
Not necessarily. Fragrance oils are proprietary blends; the same name does not mean the same formula. Re-test every scent before switching production.
