Quick answers — read this first
What makes a bulk fragrance oil supplier reliable? Three things you can test: stock depth (your scents in stock at production sizes, with smaller sizes behind them), documentation (GST invoice, MSDS and IFRA certificate supplied when asked) and consistency (the same oil and a predictable price per gram each time you reorder).

How do I find a reliable bulk fragrance oil supplier for a candle business, and how do I check that they are?
Treat reliability as three tests, not a feeling. Stock depth: are your scents in stock at the size you produce from, with a smaller size behind them for top-ups? On CSI's 24 September 2026 pull, 92 oils list a 1 kg but 73 have it in stock, and 47 are in stock at every size. In a worked 12-scent range, 9 are buyable at 1 kg and the other three need 500 g or 100 g packs instead. Documentation: ask for the MSDS and IFRA certificate for each scent before the bulk order, and note whether they arrive. Consistency: check that the price per gram behaves predictably across sizes (for 52 of 91 oils the 1 kg and 100 g are within 1%), and keep a 15 g retained sample from each delivery to compare the next batch. What no listing can show — lead time, payment terms, volume pricing — must be agreed in writing on WhatsApp, and covered with safety stock until it is proven.

What reliability means for a bulk buyer

A hobbyist needs a good oil. A bulk buyer needs the same good oil, in the same size, with the same paperwork, every time they reorder.

When a candle business says it wants a reliable supplier, it usually means something specific that it has not written down. It means the 1 kg of its best scent is there when it reorders. It means a corporate client's request for an IFRA certificate can be answered this week. It means the oil in the new bottle smells like the oil in the last one, and costs roughly what the costing sheet says. Each of those is testable, and a buyer about to move serious volume to a supplier should test them rather than trust a word on a homepage, including ours.

Notice what is not in that table: nothing about being the biggest, the oldest or the cheapest. Size is not reliability. A large supplier can still run out of your one best-seller in October. The test is always your scents, your sizes, your documents. Test one: stock depth

Stock depth has two layers. The first is whether the production size is in stock at all. The second is whether there is a smaller size behind it, so a month that runs over does not stop the line. Across CSI's collection on the pull date the first layer looks like this:

The number that matters to a bulk buyer is the bottom row. Nearly every oil lists a 1 kg, but 19 of those kilos were out of stock on the pull date. The in-stock rate is highest at 50 g and 15 g, which is the opposite of what a production buyer needs. None of this is unusual for a fragrance catalogue. It simply means that a bulk order should start with a stock check, scent by scent, and that the check has to be repeated before each reorder.

The audit, run on a real 12-scent range

Here is the check applied to a plausible 12-scent range: eight broad sellers, a gourmand, an earthy wood, a BBW-inspired fresh and a coffee. Each row shows the stock status of the three production-relevant sizes:

Nine of the twelve pass. The closest call is Chocolate Fudge, which is out of stock at 100 g but in stock at 50 g, 500 g and 1 kg, all at ₹3.96 a gram, so it passes: top-ups simply come in 50 g. The three that fail at 1 kg are Vetiver, Freshwater (BBW Inspired) and Moca Coffee. None of them is unbuyable. Each has a different route to a kilo, and each route has a cost:

Vetiver bought as two 500 g packs costs ₹136.00 more than the listed kilo. Freshwater bought as ten 100 g bottles costs ₹680.00 more, and it means ten bottles to open and track. Moca Coffee costs the same per gram at 100 g as its listed kilo, so the only cost is handling. That is the practical meaning of stock depth: when the production size is missing, a smaller in-stock size keeps you producing, usually at a small premium. The time to find that out is before the order, when you can price it in, not after, when a customer order is waiting.

The range built on listings. A new brand chooses twelve scents from product pages, costs them all at the 1 kg price, and launches. In month two three of the kilos are out of stock and the costing is wrong for a quarter of the range. Fix: run the stock audit before you fix the range, cost each scent at the route you can actually buy today, and message CSI on WhatsApp for restock information on any kilo you depend on. Re-run the audit before every bulk order
Stock positions change between orders. A scent that passed in September may be short in October, when festive demand peaks before Diwali on 8 November. Keep the audit table as a sheet and tick it off size by size each time. It takes ten minutes and it is the only stock-depth test that means anything.

Test two: documentation

Documentation is where reliability stops being about your production and starts being about your customers.

A candle business selling through retail shelves, corporate gifting or export will be asked for paperwork sooner or later. The minimum set is a GST invoice for each purchase, the MSDS (material safety data sheet) for each oil, and the IFRA certificate that states how much of that oil is permitted in each product category. CSI provides GST invoicing and supplies MSDS and IFRA documents on request over WhatsApp. This series does not quote individual oils' IFRA percentages or flash points, because those belong on the certificate, not on a blog. Ask for the document and keep it on file.

The test is simple and it costs nothing. Before a bulk order, send your list of scents on WhatsApp and ask for the MSDS and IFRA certificate for each. Then note three things: whether every document you asked for arrives, whether each one names the oil exactly as it appears on your invoice, and whether you had to ask twice. A supplier that sends complete documents when you are only a prospect is one you can expect to send them when a client is waiting. One that cannot is telling you something useful before you have spent anything.

The IFRA certificate matters for more than compliance. It tells you the maximum amount of that particular oil permitted in a candle, and that limit applies alongside your wax's own ceiling. Test three: consistency

Consistency has two halves, and a bulk buyer needs both. Price consistency means the rate you costed against still holds when you reorder, and holds across the sizes you actually buy. Product consistency means the oil in the next bottle performs like the oil in the last. The first you can check on the product page with a calculator. The second only you can check, with your own wax and your own burn test.

Price consistency across sizes

Most CSI oils are priced linearly above 100 g: for 52 of the 91 oils that list both sizes, the 1 kg is within 1% of the 100 g per gram. That is good for a bulk buyer, because a top-up from a smaller size does not wreck the per-candle cost. But a few oils have irregular ladders, and you should know which before you plan around them:

Love Spell's 500 g costs ₹5.00 a gram, more than both its 100 g (₹4.49) and its 1 kg (₹4.50). Saffron Cedarwood runs the other way: the 500 g is ₹5.17 a gram and the 1 kg ₹6.87, so two 500 g packs cost ₹5,168.40 against ₹6,867.60 for the kilo. Neither is a problem once you know. Both are a problem if you assume every ladder slopes gently down. Compute per gram at every size you might buy, for every scent in your range, once. It takes an afternoon and it is the only way to know your real bulk rate.

Argued against our own interest, plainly. We could tell you our 1 kg is always the reliable, economical buy. For Saffron Cedarwood on the pull date it is not the cheapest route to a kilo, and for some oils it is not the size in stock. Reliability means we tell you that two 500 g packs of Saffron Cedarwood cost ₹1,699.20 less than one 1 kg, that 19 listed kilos were out of stock on the pull date, and that you should check before you order. A supplier that only tells you the convenient half is not one to build a business on.

Product consistency, batch to batch

No supplier can prove batch consistency to you in advance, and you should be wary of one that claims to. What you can do is build a check into every delivery. When a bulk order arrives, pour off 15 g of each oil into a small labelled glass bottle with the date and invoice number, and store it cool and dark. When the next delivery of that oil arrives, compare the two side by side on a smelling strip, and if anything seems different, pour one test candle from each and burn them together after the same cure. At 8% load, 15 g scents one 180–200 g candle, which is exactly enough for that comparison.

Planning around what cannot be tested

Some parts of reliability only show up over time. Until they do, plan as if they might go wrong.

Lead time, restock timing, payment terms and any price beyond the listed packs are not published by CSI, and this page will not guess them. Ask on WhatsApp, get the answer in writing, and then record what actually happens: the date you ordered, the date it was dispatched, the date it arrived. After three or four bulk orders you will have your own evidence of how long an order takes to reach you, which is worth more than any stated figure.

Until you have that evidence, hold safety stock on the scents you cannot afford to lose. The logic is simple: if you do not know how long a reorder takes, keep enough on the shelf to cover the longest wait you would find believable, and shrink the buffer as your records show it is not needed. Trust is a record, not a feeling.
Test stock depth before every bulk order. Test documentation before the first. Test consistency on every delivery with a retained sample. And for the things no test can show in advance — lead time, restock timing — write down what was agreed, record what happened, and hold stock until the two match.
Diwali falls on 8 November 2026, and festive demand is when stock depth is tested hardest. A first bulk order that tests all three

The first bulk order to a new supplier is also the first test. Here is the 12-scent range from the audit, one kilo of each, bought as a 1 kg where one is in stock and by the cheapest in-stock smaller packs where it is not. (Strictly, twenty 50 g bottles of Blue Ocean come to ₹16.00 less than its kilo, and ten 100 g of Gardenia ₹2.00 less. Neither saving is worth twenty or ten bottles to open, so the kilo is used.) It tests stock depth (three scents need a workaround), documentation (ask for twelve MSDS and twelve IFRA certificates alongside it) and consistency (retain twelve 15 g samples on arrival). What if the 1 kg fragrance oil I need is out of stock?

How do I check fragrance oil batch consistency?
Keep a labelled 15 g retained sample from each delivery. Compare the next batch on smelling strips, and if they differ, burn one test candle from each side by side after the same cure. Report any difference with both invoice numbers before production.
Does CSI guarantee lead times on bulk fragrance orders?
