Why regular orders need a fixed format

A candle business placing its fourth or fifth monthly fragrance order usually does it the same way it placed the first: open the product pages, remember roughly what ran low, add things to a cart or type a message, and hope nothing was forgotten. That works until it does not. A scent is ordered at 500 g instead of 1 kg because someone clicked the wrong size. A seasonal oil is left off because the person who remembered it was on leave. An invoice arrives without your GSTIN because the message did not include it. None of these are supplier failures. They are format failures, and a fixed format removes them.

A standing order is simply a template you reuse. It separates the parts of an order that never need deciding again from the parts that do, and it gives the supplier a consistent thing to confirm. It also creates a paper trail: twelve standing orders in one WhatsApp thread are a year of purchasing history, which is exactly what you need when you later choose a long-term supplier or ask for a quote at your real volumes. The standing-order template

Here is the template, field by field. The right-hand column says who fills each field. Everything marked Supplier is something you ask CSI to confirm in writing when you send the order, not something to assume.

Two of those fields deserve a note. Use the store title exactly. A few oils appear twice in the catalogue with different prices, for example Pomegranate Splash and its second listing, and Spicy Raspberry and its second listing. A standing order that says only "Pomegranate" leaves room for the wrong one. Ask for documents once per oil, not every month. Once you hold the MSDS and IFRA certificate for a scent, the monthly order only needs to request them for new additions.

Core, flex and seasonal lines

A core line is a scent that sells every month in roughly the same quantity, and whose quantity you are happy to fix. It goes in at the production size, usually 1 kg, and does not change until a quarterly review says it should. A flex line is a scent you sell every month but in a quantity that moves; it goes in at whatever pack mix the stock count calls for, usually 500 g with 100 g top-ups. A seasonal line is added for a festive or wedding window and removed afterwards. Here is how the worked example sorts its seven scents:

Why is the core fixed at one kilo rather than exactly 998.4 g? Because at 80 candles a month and 12 g each, the core needs 998.4 g with a 4% allowance for pour loss and test burns, and one kilo covers it with a gram or two to spare. The allowance itself is a working assumption; plan 3–5% extra and adjust once you know your own losses. Three months of one standing order

Here is the worked standing order for October, November and December 2026, costed at CSI's listed prices on the 24 September pull. Quantities include a 4% allowance, and each line is bought as the cheapest combination of in-stock 1 kg, 500 g and 100 g packs that covers it.

Across the quarter the standing order spends ₹61,896.92 on fragrance for 1130 candles. The core is ₹38,515.20 of that, fixed and predictable. The flex and seasonal lines account for the rest and are the only part that needs a decision each month. On these figures fragrance costs between ₹44.25 and ₹73.75 per 150 g candle depending on scent and pack mix, before wax, wick, jar, labour, packaging, freight and GST.

Look at how the pack mixes fall. Where a scent's price is flat from 100 g to 1 kg, as with Peach Melon Berry and Apple Cinnamon, the calculation simply rounds up to whole packs. Where the 500 g is cheaper per gram than the 100 g, as with Orchard Pear, the 500 g only wins once a line needs more than 400 g. At 374.4 g in October, four 100 g bottles cost ₹1,520.00 against ₹1,870.00 for a 500 g. At 499.2 g in November, the 500 g beats five 100 g bottles (₹1,900.00). Here are the three oils that anchor the worked example: a flat-priced core scent, a core scent with a real kilo saving, and the seasonal line.

What the supplier confirms, and what you agree

A standing order has a second half: the supplier's reply. The fields marked Supplier in the template are the ones to get back in writing each month. Some of them only need agreeing once; others need confirming every time.

Until the lead time is known from your own records, the standing order should be placed early enough that one slow month does not stop production. The simplest rule is to send it on the same date every month and to hold a buffer of the core scents, which are the ones you cannot pour without. At the worked core rate, two weeks of buffer on the three core scents is about 1.40 kg of oil, or ₹5,991.25 at the kilo prices. That is a planning choice, not a supplier figure.

October's order, as a shopping list

Here is the worked October standing order in full, with the wax and wicks for 410 candles of 150 g. Wax is Natural Soy Pearl Wax, which is ₹424.80 a kilo at 5 kg against ₹450.00 at 1 kg, one of the few real bulk breaks in the wax range: 410 candles × 138 g + 4% is 58.84 kg, so 12 bags of 5 kg. Wicks are Eco Candle Wicks Thin C1 in packs of 100. Check the wick size against your jar before you commit; a 150 g candle in a wide jar may need a different wick.

That is ₹125.01 of fragrance, wax and wick per candle, before the jar, labour, packaging, freight and GST.
