Split buying is how most makers drift into inconsistency. Nobody plans three lots. They buy a kilo to start, top up when the order firms, and top up again when the guest list grows. How much fragrance oil should I order for a bulk wedding candle order, and how do I keep every candle smelling the same?
Size the oil with one line of arithmetic: pieces × candle weight × load. At 8%, 1,000 candles of 100 g need 8 kg of oil. 500 return gifts of 50 g need 2 kg, and 200 gift jars of 200 g need 3.2 kg. Add a 3–5% allowance for pour loss and test burns (a working assumption): 5% for a new format, 3% once your process is steady. Then protect consistency. Buy all the oil for one wedding in one order rather than topping up, and ask CSI on WhatsApp whether the quantity can come from a single batch. Before the first pour, pool every pack into one clean vessel and mix, so the whole run draws on one master oil. Weigh the load into every pour, use one wax lot where you can, and keep a labelled reference candle to check each day's output against. One line: the cheapest way to buy is not always the most consistent way. For a big wedding order, buy for consistency.
Before you commit 8 kg of oil to one scent, pour it. A 15 g Gardenia tester at ₹105.02 makes one 100 g test candle at 8% (8 g) with 7 g left for a second pour at a different load. For a 1,000-piece order that ₹105.02 is the cheapest insurance you will buy.

Sizing the oil

Bulk orders go wrong at the ordering stage far more often than at the pouring stage.

Every wedding order reduces to the same sum. Multiply the number of pieces by the candle's total weight to get the weight of finished candle. Multiply that by the load to get the oil, then add an allowance. At an 8% load, 1 kg of oil scents 12.5 kg of finished candle. The table does the sum for the order sizes wedding makers are usually asked for, in the three common formats, with a 3% and a 5% allowance.

Choose the allowance deliberately. Loss comes from oil left in jugs and on stirring sticks, spilled or rejected pours, and the test candles you burn during the run. On a first order in a new container or a new scent, 5% is sensible. Once your process is steady, 3% is usually enough. On 1,000 × 100 g Gardenia the gap between them is 160 g of oil, or ₹642.98 at the pack mix you would buy. That is small money against the cost of running short in the last week before the wedding.

Fix the load before you size the order
Sizing at 8% and then deciding during testing that 9% throws better means a 12.5% larger oil bill and a shortfall. Settle the load on test candles first. At 1,000 × 100 g, every half-point of load is 500 g of oil, about ₹2,166.00 of Gardenia at the kilo rate. Two more inputs belong in the sizing. The first is how firm the count is. Wedding guest lists move, so agree with the client in writing what happens if the count rises, and size either for the upper figure or with a clear plan for a top-up (see when the guest list grows). One smell from first candle to last

Guests do not compare candles. Families, planners and photographers do, often side by side on a table.

Fragrance oil is a manufactured blend, and like any manufactured product it is made in batches. Small differences between batches are normal in the industry and usually invisible in a single candle. In 1,000 identical candles poured over two weeks and displayed together, they can be noticed. The oil is not the only variable, either. Load, wax, pour temperature and cure time all change how a candle smells. Consistency comes from controlling all of them, and the oil is the one you control at the ordering stage.

Pool the packs into one master oilBefore the first pour, empty every pack of that oil into one clean, dry, closable vessel and mix it thoroughly. From then on, every candle draws from the same blend, whatever differences existed between packs. Store it sealed, away from heat and light, as the MSDS directs.

Weigh the load into every pour8 g into every 92 g of wax for a 100 g candle, weighed, not measured by eye. A weighing scale at ₹354.00 is the cheapest consistency tool you will buy.

Hold the other variablesOne wax, ideally from the same delivery. The same pour and add-oil temperature (a pen thermometer is ₹354.00). The same cure time before packing. Changing any of these mid-run can change the smell as much as a batch difference in the oil.

Check against a reference candleKeep one candle from the first day's pour, labelled and sealed. At the end of each day, compare a finished candle from that day with it, cold and lit. If something has drifted, you catch it in one day's output, not in the whole order.
Argued against our own interest, plainly. We would sell you more oil if we told you to buy "a bit extra, just in case" for every wedding. A properly sized order with a 3–5% allowance is enough. Buying 20% extra "for safety" on a flat-priced oil like Gardenia ties up ₹6,931.20 per 1,000-piece order in oil you may not use this season. Size it right, then keep one spare 100 g for true emergencies.
The mid-run supplier switch. A maker runs short in week two, cannot wait, and buys a "similar" gardenia from another shop. The last 200 candles smell different, and the difference shows on the display table. If you must top up, top up from the same supplier and the same product, pool the top-up with what remains of your master oil, and pour a new reference candle before continuing.

On a big wedding order, the saving from the cheapest pack mix is usually a few rupees. The cost of a batch that smells different on the stage table is the client. Fewer, larger packs, one order, one master oil.

The batch record

A batch record is a one-page log for each production day. It lets you trace any candle back to the oil, wax and settings that made it, and it is what a planner or a corporate buyer will ask for if a complaint ever comes back. It also makes the next wedding in the same scent a repeat rather than a guess.

Keep the GST invoice, MSDS and any IFRA document that came with the oil in the same file. Gardenia is priced flat from 100 g to 1 kg at ₹4.33 a gram, so this order costs the same per gram whether you buy kilos or bottles. The case for kilos is handling and consistency, not price.
